Externally Funded Programmes Privacy Notice
This privacy notice is designed to help you understand how the council may process your personal data for the purposes of the administration and delivery of externally funded programmes.

Who are we?
The Council is responsible for delivering a wide range of public services and functions. This includes some functions involving the administration and delivery of externally funded programmes that benefit the district's infrastructure, residents or businesses.
There are several departments across the council that may be involved in the delivery of externally funded programmes.
Whose personal data do we process?
- People making enquiries relating to grant funded programmes or other areas of council support;
- Beneficiaries of externally funded programmes;
- Our staff and staff from partner organisations involved in the delivery of externally funded programmes for the purposes of evidencing time spent on programme delivery;
- Suppliers, consultants and other professional experts related to commissioned projects.
What type of personal data do we process?
The personal data we process may include your:
- Name
- Contact details (postal address, telephone number and email address)
- Date of birth
- Employment details
- Financial details
- Business or self-employment information which may include bank statements, Self-Assessment Tax Return or other financial information
- Photographs to evidence use of the grant funding
It may also include Special Categories of Personal Data where this is required for equalities monitoring purposes.
Why do we process personal data?
We process personal data for the purposes of responding to enquiries, to process applications to benefit from programmes and to ensure eligibility of beneficiaries, to deliver externally funded events and initiatives.
Where do we get your personal data from?
Your personal data is provided by you to the council directly when you contact us, or apply for an externally funded project or scheme or it may be shared with us by an external programme or delivery partner where you have provided them with your personal data and you benefit from the externally funded project or scheme.
Who do we share personal data with?
Your personal data may be shared with:
- The managing authority for the external funding;
- Suppliers, consultants and other professional experts related to commissioned projects;
- Other Council Services including those that may have access to alternative sources of funding;
What is the legal basis for using personal data ?
We rely on the following lawful basis to process personal data for the purposes of administration and delivery of externally funded programmes:
- Consent: You have given consent for us to process your personal data for a specific purpose.
- Contract: The processing of your personal data is necessary for a contract you have with the council, or in preparation for entering into a contract with the council.
- Public Task: The processing is necessary for the council to perform a task in the public interest or for its official functions with a basis in law.
Where we process Special Categories of Personal Data for the purposes of equalities monitoring, we rely on an additional lawful basis:
- Processing is necessary for reasons of substantial public interest (with a basis in law) meeting the condition in Schedule 1, Part 2 of the Data Protection Act 2018 as below:
- (8) Equality of opportunity or treatment.
